Role Description

This is a full-time on-site role for an Operations Assistant. As an Operations Assistant, you will proactively support our Wealth Advisors and will assist with efficient and high-quality client service. You will maintain extensive contact with internal and external clients to resolve most problems and refer new or unusual issues to the Director of Operations. You will be responsible for various day-to-day tasks including administrative, customer service, and utilizing analytical skills to support the overall operations of the company. Your role will involve working closely with the operations team to ensure the smooth and efficient functioning of all operational processes.

Principal Responsibilities

• Anticipate client needs, solve problems, and follow through with exceptional customer service.
• Process and follow up on client documentation for proper maintenance of accounts.
• Maintain databases and create reports using proprietary software programs.
• Assist Wealth Advisors with preparing for client meetings, follow-up, and marketing efforts.
• Respond to incoming emails and telephone calls professionally to ensure that the client’s request is met in a timely fashion.
• Manage calendar and schedule meetings for clients and prospects.
• Interact with the firms’ home office support to develop cooperative relationships and guarantee timely follow-through on requests.
• Work closely with the Director of Operations to ensure that the office remains compliant with RJFS and FINRA.
• Cultivate ideas to develop or help improve office systems and protocols.
• Assist with special projects as required.
• Maintain working knowledge of current operations practices, policies, and procedures.
• Perform other duties and responsibilities as assigned.

Qualifications

As an Operations Assistant, you must possess a pleasant and service-oriented demeanor with business-appropriate phone manners as well as superb verbal communication skills to convey information clearly and professionally. You must be able to organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced work environment. Our ideal Operations Assistant is a quick learner who demonstrates an excellent work ethic, pays close attention to detail to ensure that reports, correspondence, and databases are accurate, and exercises effective problem-solving skills. You must also be able to follow instructions and adhere to deadlines.

Relevant skills and qualifications that would be beneficial for this role include:

• Bachelor’s degree preferred or 3-5 years of technical operations experience preferably in a financial services environment, including some project management experience.
• A strong understanding of financial operations, proficiency in MS Office Suite, and knowledge of industry regulations and compliance standards.
• Advanced communication skills, both written and presentational.
• Above average organizational skills with the ability to multi-task.
• Strong analytical skills and attention to detail.
• Ability to provide exceptional customer service.
